We're seeking an experienced executive assistant and sales operations specialist who has a natural ability to anticipate needs and stay one step ahead. If you've successfully supported busy executives and sales teams, this role may be for you.

You'll be a true partner to our founder, expected to make decisions, streamline processes, and occasionally redirect priorities when you see potential issues he might miss.

Key Responsibilities

Administrative Excellence

  • Executive support: Work to understand the workflow and business needs of the CEO, proactively manage up, and provide high-level administrative support with minimal direction. You have done this before and you know how to remove friction, obstacles and you become a trusted partner the executive can rely on. They don't have to think about it because you’ve got it handled.
  • ​​​​Communication hub: First line defense to manage communication inputs, emails, calendar requests, and correspondence with professionalism. You'll have access to confidential information, important interactions and you can treat each one with the level of urgency it needs.
  • Calendar & scheduling: Coordinate complex schedules, provide efficiency and prevent conflicts. You'll begin to understand the flow and priorities and have been called a lifesaver in your prior roles.
  • Document management: Create, edit, and maintain important documents. You'll take an AI meeting recording and turn it into a summary of next steps. You are AI forward and are excited about learning these tools as ways to help you be more efficient, you aren't afraid of them or think they will take your job. Rather you see them as door openers to being able to do more.

Sales, Marketing & Business Support​​​​

  • Sales operations support: Assist with lead tracking, customer follow-up, and sales documentation. You understand the importance of helping a Sales Exec to stay on top of follow up. You like being in the know wrapping your arms around what's going on so that you can be proactive and help do the things that lets them do what they are good at - close the sale!
  • CRM management: Maintain customer databases and sales pipeline information. You understand that the CEO just is not going to update the CRM, and you enjoy making sure things are up to date and informative to others on the team.
  • Proposal assistance: Help prepare presentations, quotes, and sales materials. You have worked with Sales or Business Development departments before (or similar) and you are willing to help out with important documents in a timely manner.
  • Social Media: You are familiar with social media platforms to not only help us get posts up, but potentially also take on billable work with a client or two. You can write, post and monitor with confidence.
  • Customer service: You are a seasoned professional that knows how to make sure customers, employees and partners feel taken care of and important to us.
  • Process improvement: Identify efficiencies and implement better systems. If you come up with a way to do something better, you speak up.

Essential Experience & Skills - The Ideal Candidate Will...

You're the person other executives have called "indispensable." You've worked with busy, successful leaders before and you're not intimidated by busy, high-achieving personalities - you complement them.

  • Proven track record: 3+ years of administrative assistant, executive assistant, or similar experience supporting C-level executives or entrepreneurs (not just managers). You quite literally have been there and done that and it's your super power.
  • Executive-level judgment: You've learned to interpret what busy leaders need, even when they don't have time to explain it fully. You can fill in the gaps and make smart decisions on their behalf.
  • Business acumen: Understanding of sales processes and business operations. You don't have to know everything; you have to understand the big picture and help connect the dots.
  • Technology proficiency: Advanced skills in Microsoft Office Suite, Google Workspace, and CRM systems. We use Google, HubSpot, Smartsheets and a few other great systems. You are not afraid of tech, you know your way around. You’re at least familiiarity with AI tools, if not proficient.
  • Communication excellence: Outstanding written and verbal communication skills. You use AI to help but you don’t relying on it too much. Comfortable having direct, honest conversations with leadership, and value transparency.
  • Problem-solving expertise: Track record of anticipating needs and solving problems before they escalate. You are confident in your decisions and you know when to check in and when to just go.
  • Long Term Outlook: You’re not looking for just a “job,” you’re ideally looking for a long term relationshp where you can grow with us over a long period of time.

Ideal Schedule

  • 10-15 hours per week to start
  • Flexible hours with some core times where overlap is needed, other times work is async.
  • Primarily remote work, but ability to meet up in-person (KOP, Spring House / Ambler Area) when it makes sense
  • Growth to part-time or full-time based on mutual interest
